Offices

Fire safety software for commercial offices.

Several tenants, one building, and a duty that does not divide as neatly as the lease does.

An office building in multi-tenant occupation has a fire safety duty that is shared, and sharing it is where the difficulty starts. The landlord holds the common parts, each tenant holds their demise, and the risk does not respect either boundary.

The occupants are at least awake, mobile and broadly familiar with the building, which makes the evacuation problem genuinely easier than in a residential or care setting. What replaces it is churn: fit-outs, moves, partitioning and cabling, each one an opportunity to breach something.

The scrutiny is commercial rather than regulatory most of the time. Tenants' own advisers ask for evidence at lease events, and a landlord who cannot produce it is negotiating from a weaker position.

The records

What offices are answerable for

  • Fire risk assessment, its review date and the actions from it
  • Fire door register across common parts and demises
  • Alarm, detection and emergency lighting servicing
  • Compartmentation and fire stopping records after works
  • Remedial actions, through to close-out
  • Evacuation arrangements and drill records
The problem

What makes this hard for offices

  • A duty split along a lease line

Landlord and tenant each hold part of it, and the split rarely matches where the risk actually is. The gap between the two is where things go unassessed because each assumed the other had it.

  • Fit-outs that breach what the building relies on

Every tenant fit-out runs services through walls and ceilings. Fire stopping is penetrated and made good to a standard nobody checked, and then covered over.

  • Doors held open for convenience

Fire doors in an office are propped, wedged or disabled because they are inconvenient. The failure is routine, informal and invisible to anyone not looking at that moment.

  • Tenants who ask at lease events

Evidence requests arrive at renewal, rent review or sale, from advisers who are looking for reasons. The records are either current or they are a negotiating point.

  • Several buildings, one estate

A landlord or agent with a portfolio holds the same obligations repeatedly, usually evidenced per building by whoever manages it.

The answer

How FireOptix helps

  • A duty split along a lease line

Records are held per building and per area, so what has been assessed and by whom is explicit rather than assumed from the lease.

    Premises & buildings
  • Fit-outs that breach what the building relies on

Defects and remedial actions are tracked from identification through to close-out with photo evidence, which is the only practical record of something now hidden.

    Defects & remedial actions
  • Doors held open for convenience

Doors sit on a register with their check routine and history, so a door routinely wedged shows up as a pattern rather than as a one-off observation.

    Fire doors
  • Tenants who ask at lease events

Assessment actions are tracked to close-out, so what a tenant's adviser asks for exists as a record rather than a reassurance.

    Fire risk assessments
  • Several buildings, one estate

Servicing records are held per building with their own dates, and the portfolio position is visible across them.

Questions

What offices ask

Can we separate landlord and tenant responsibilities?
Records are held per building and per area, so what has been assessed and who holds it can be made explicit. Where the duty actually falls is a legal question about your leases rather than a software setting.
Can we record fire stopping after a fit-out?
Defects and remedial work are tracked with photo evidence, which is the only practical record of something that is now behind a ceiling.
Does FireOptix carry out the assessment?
No. A competent assessor does it. FireOptix records the assessment, its review date and the actions arising.
Can tenants be given access?
Access is role-based and can be scoped. What you share with an occupier is your decision.
Does it integrate with the fire alarm panel?
No. It is not monitoring, receiving or panel integration. It records servicing and defects.
